Personal Knowledge Management Insights — PKM Weekly Update

This week’s edition arrives on a Sunday, a slight change from the usual schedule, largely due to my delay in completion yesterday. Nonetheless, there’s a wealth of updates to cover, so let’s dive in!

- Logseq
- Tana
- Obsidian
- Other Applications
Video update for the week:
CAPACITIES - Efficient inbox and daily routines system in Capacities
Steffen shares his method for managing various ideas, inspirations, decisions, and tasks within Capacities. Here’s a brief summary of my inbox and daily routines within the platform. Although this article is a few months old, I discovered it recently and felt it was worth sharing.
I primarily utilize three tags for incoming items, down from a larger set: - ToRead - ToThinkAbout - NeedsProcessing
When I save articles or find YouTube videos, I share them with Capacities and assign the #ToRead tag, effectively creating my reading list. If it becomes too cluttered, I prune the list from the bottom, often finding that older items are no longer relevant.
- Storing web links and media in Capacities
A new user inquired about the quantity of web links and media files stored in Capacities. As I build my PKM system, the strategies I employ to manage and retrieve information become increasingly complex. Beth outlines her approach:
- I apply a rigorous selection process for what enters Capacities, which I refer to as my resonance filter. I use Raindrop for bookmarks, only bringing in items I genuinely wish to annotate or connect with other notes.
- Any properties I add must have a query associated with them for easy retrieval. Sometimes I find certain properties unnecessary and remove them to keep things organized.
- I archive items that aren’t frequently needed, often downloading them as markdown files for storage elsewhere.
- I frequently review objects lacking backlinks through a query and delete many if they no longer serve a purpose.
This selective approach helps me manage large volumes of content effectively.

LOGSEQ - Readwise + Logseq Tutorial: Importing Book Notes into my Second Brain
In this video, Combiningminds demonstrates the process of importing Kindle highlights into Logseq using Readwise, in preparation for an interview with author Bob Doto. The tutorial covers custom export and import settings to distinguish personal notes from the author’s content while organizing and retrieving information in Logseq.
- Logseq Customization for Project Management Template
Having used Logseq for nearly two months, I initially explored it for my daughter’s university needs but found it beneficial for my own use as well. As a program manager, I've customized a project management template that simplifies my project logging.
While project timeline planning is critical, tracking issues and actions is paramount. I maintain logs for actions, issues, constraints, and decisions to ensure effective management.
